Mendota Mental Health Institute (MMHI) in Madison, WI is currently recruiting for a part-time Attendance Tracker. This position will work approximately 20 hours per week. This position earns paid leave time which is prorated based on the amount of hours worked.

MMHI is located on the north side of Madison and offers a beautiful campus environment, convenient free parking and an onsite workout facility. MMHI is an inpatient psychiatric facility, with one outpatient program, specializing in serving patients with complex psychiatric conditions, often combined with certain problem behaviors. A secure setting to meet the legal and behavioral needs of our patients is provided. MMHI is an integral part of the entire Wisconsin mental health service delivery system.

Position Summary

As the Attendance Tracker, you will perform confidential paraprofessional work of considerable technical difficulty related to employee absence tracking for MMHI. This position is responsible for developing, evaluating, tracking, teaching and maintaining the Attendance Tracking System for 500+ Nursing Staff employees. Duties include:

  • Being responsible for complex and essential data collection and interpretation which is used as a primary source by Human Resources for decisions on attendance issues and discipline.
  • Having a pivotal communication role between unit management, Director of Nursing, Nursing Supervisors and HR Director as well as nursing staff.
  • Providing varied and complex administrative tasks critical to the day-to-day operations of the Nursing Department.
  • Providing nursing staff scheduling, timekeeping and a variety of record-keeping responsibilities with the focus on attendance tracking.
  • Assisting with the admission procedures and performing administrative support tasks for the supervisors and Nursing Department scheduling staff.
  • Scheduling meetings for the Director and Assistant Director of Nursing.
  • Taking and distributing minutes for meetings lead by the Director and Assistant Director of Nursing.
  • Assisting Director and Assistant Director of Nursing with developing, scheduling, and implementing special projects for the nursing department.

Salary Information

The starting salary is $20.46 per hour, plus excellent benefits. A 12-month probationary period is required.

Pay for current or former state employees will be set based on the rules that apply to compensation for the applicable transaction. This position is classified as an Operations Program Associate and is in pay schedule and range 02/11.

Job Details

All applicants who may be appointed to this position will be required to allow DHS to conduct a background check to determine whether the circumstances of any conviction may be related to the job being filled.

All appointees will be required to receive a TB test, which will be administered by MMHI or medical personnel approved by the facility prior to their start date.

DHS does not sponsor work visas for this position, thus, in compliance with federal law, selected candidates will be required to verify eligibility to work in the United States by completing the required I-9 form upon hire.


Minimally qualified applicants will have all of the following:

  • Experience working with Microsoft Office products (e.g., Excel, Access, Word, Outlook, etc.) performing duties such as creating spreadsheets to track data, entering data into a database, preparing written correspondence, responding to emails, etc.
  • Experience working with a tracking or scheduling system performing duties such as entering data, performing calculations, monitoring, tracking data, etc.
  • Experience providing program or administrative support performing duties such as triaging phone calls, responding to inquiries, maintaining files, etc.

Well-qualified applicants will also have one or more of the following:

  • Experience working in 24/7 healthcare facility.
  • Experience handling confidential information and maintaining confidentially of sensitive information.
